Room Reservations
Regulation
In order to use the church property safely, all parties desiring to use the church property will need to complete a room request form online, and adhere to the general rules and regulations for use of the church property:
- To host any meetings, programs or events the organizer must fill out a Room Usage Form and be confirmed by the Pastor or Office Secretary. Please see the Office Secretary to make the arrangements.
- The use of any part of the facilities “for profit” by individuals or organizations is not permitted. Church-related organizations may use the facility for fundraising.
- All parties using the building are expected to return the rooms used to their original condition. This includes cleaning up after oneself and moving any furniture back to where it was originally placed. Arrangements may be made with the building manager for set up and clean up, but this needs to be requested in the building use form.
- If you are planning to use any items such as projectors, sound systems, pianos, and the organ, please make sure that you receive permission from the church office and use them with care.
- There will be a usage fee depending on the rooms and hours one is planning to use. The organizers of the program are responsible to pay whatever amount is due. Please pay the amount BEFORE the start of your program. For the fee, please see more info below
- If you are the last ones out of the building, make sure all the doors and rooms are locked, and the lights are turned off.
- Any damage or problems to the church building should be reported to the building manager. Any damage to the building committed by the organizer would be asked to replace or pay a damage fee.
- From the order of the Fire Safety Department, each room can only fit a certain amount of people. The number of people cannot exceed the maximum capacity of each room. (Please see Section IV for Details).
- Smoking, drinking of alcohol, and illegal drug use of any kind is prohibited on the church ground. This rule also applies when organizers use the playground, courtyard or the front porch.
- The facility OFFICIALLY closes at 11pm. However, if your party desires to stay longer, please contact the office secretary.
- Please contact the church staff before touching any of the WIFI wires.
Who is responsible?
The organizer using the space is responsible for the state of the space during and after their meeting/event as well as returning the key to the Church Office, if the room requires it. If the office is locked, please leave it in the Church Mailbox.
Fees
We have the following rates for HPHC members using the building for non-ministry related, personal programming, such as weddings, baby showers, birthday parties and social or club meetings:
- Chapel: $350/hour (235 people max)
- Fellowship Hall: $150/hour (100 people max) ***Includes the L-1 Classroom (20 people) and L-3 Game Room (12 people), if needed***
- Kitchen: $40/hour (12 people max)
- U-2 Magnolia Room: $70/hour (40 people max)
- U-3 Lilac Room: $50/hour (30 people max)
- M-4 Conference Room: $30/hour (10 people max)
- M-3 Nursery: $20/hour (20 people max)
- L-2 Dojo: $40/hour (12 people max)
- L-1 Classroom Only: $30/hour (20 people max)
- L-3 Game Room Only: $20/hour (12 people max)
